Zebra ZT231 setup guide: from unboxing to first label

Load the ribbon and labels, run the Print wizard and connect the ZT231 to your PC in the right order for a clean first label.

    This guide takes a new ZT231 from the box to a calibrated first label, with ribbon (thermal transfer) or without (direct thermal), over USB or Ethernet.

    You'll need
    • Labels 19.4–114 mm wide: rolls up to 203 mm in diameter on a 76 mm (3 in) core, or up to 152 mm on a 25 mm (1 in) core
    • Ribbon coated on the outside, 40–110 mm wide and at least as wide as the labels (thermal transfer only)
    • A Windows 10 or 11 PC with administrator rights
    • A USB cable, or an Ethernet cable to your network

    Before you start

    Unpack and inspect the printer

    Unwrap the printer straight away and check the outside and the media compartment for damage. Keep all packing material: Zebra does not repair transport damage under warranty, and the carrier needs it for a damage claim. Report damage to the carrier and contact us. Remove all protective items before you switch on, including the film over the media door window.

    Choose a good spot

    • A solid, level surface that can carry a printer of about 9 kg.
    • Open space on all sides for cooling. Never put padding or foam under or behind the printer, as it can overheat.
    • An easy-to-reach power outlet close by.
    • 5–40 °C for thermal transfer (0–40 °C for direct thermal), 20–85 % relative humidity, non-condensing.
    Important

    ZT231 printers placed on the EU market from 1 August 2025 use Zebra's new security setup for the EU Radio Equipment Directive (RED); a QR code or URL insert in the box points to the instructions. You set a Protected Mode password, which protects security settings, and a front-panel password (PIN), which protects changes on the touch display. Zebra explains both at zebra.com/asr and in the Link-OS PrintSecure Printer Administration Guide. Store the passwords safely: a forgotten password cannot be recovered, only reset.

    Load the ribbon

    Skip this step if you print on direct thermal labels. Not sure which you have? Scratch the printable surface quickly with a fingernail. A black mark means direct thermal, which needs no ribbon.

    Important

    The printhead can be hot enough to cause severe burns, so let it cool first. Zebra recommends switching the printer off when you work near an open printhead. This clears temporary settings such as label formats.

    1. Open the media door.
    2. Turn the printhead-open lever upwards. The printhead assembly (4) swings up.
    3. Slide the ribbon roll onto the ribbon supply spindle (5) so the loose end unrolls the way the diagram inside the printer shows. Push the roll back as far as it goes.
    4. Check that an empty ribbon core sits on the ribbon take-up spindle (6), pushed back as far as it goes. The printer ships with one.
    5. Lead the ribbon under the printhead assembly.
    6. Keep the ribbon as far back as it can go under the printhead, wrap it around the core on the take-up spindle and turn the spindle several times to tighten and align it.
    7. Leave the printhead open and continue with the labels.

    Which ribbon fits

    The ZT231 uses ribbon coated on the outside (ink side out). Inside-coated ribbon only works with the optional spindle for it. To check a roll, press the sticky side of a label onto the outside of the ribbon and pull it off: ink on the label means the ribbon is coated on the outside.

    The printer takes ribbon 40–110 mm wide and up to 450 m long on a 25 mm (1 in) core. Use ribbon at least as wide as the labels to protect the printhead.

    Load the labels

    These steps use tear-off mode, which works with every ZT231 configuration and most label types. Fanfold labels follow the same path: feed them in through the rear of the printer and drape them over the media supply hanger.

    1. Remove torn, dirty or taped labels from the start of the roll.
    2. Slide out the media supply guide (2) and flip it down.
    3. Put the roll on the media supply hanger (1) and push it back as far as it goes.
    4. Flip the media supply guide up and slide it in until it touches the edge of the roll.
    5. With the printhead still open, slide the outer media guide all the way out.
    6. Feed the labels through the slot in the media sensor (3) and under the inner media guide. Push them back until they touch the back of the sensor slot.
    7. Slide the outer media guide in until it touches the edge of the labels.
    8. Turn the printhead-open lever down until the printhead locks, and close the media door.
    9. Plug the power cord into the back of the printer and into the outlet, and switch the printer on (I). Don't connect it to the computer yet. Press PAUSE if the printer is paused.

    In tear-off mode, labels must be at least 17.8 mm long. Peel and cutter loading start the same way.

    Run the Print wizard

    The wizard sets the print method and label type, calibrates the sensors and prints a test label.

    1. On the Home screen, touch Wizards › Print › Start Print.
    2. Answer the questions: print type (Thermal Transfer or Direct Thermal), label type (Gap/Notch, Mark or Continuous), label width and collection method (Tear Off).
    3. When the wizard asks, position the labels so that a label lies over the green light from the media sensor, and touch the check mark.
    4. Close the printhead when prompted and touch the next check mark. The printer calibrates.
    5. Accept the test label. If the gap between labels doesn't stop on the tear bar, adjust the position when the wizard offers it: lower numbers move the labels into the printer, higher numbers move them out.
    6. Print quality not right? Touch Print Quality Assistance, print several test labels and select the best one. The printer sets darkness and speed to match.
    Tip

    Don't send print jobs while a wizard is running, and use labels in the full width you normally print on. Later you can change single settings under Print › Print Quality (Print Type, Label Type) and Print › Image Adjust (Media Handling, Tear Line Offset).

    Set the same print method in the driver and your label software, because they can override the printer. A mismatch causes a Ribbon Out or Ribbon In alert. To recalibrate later or set calibration at power-up, see Calibrate the ZT231.

    Install the driver, then connect

    Install the Windows driver before you connect the cable. If Windows finds the printer first, it lists it as an "Unspecified device" with the wrong driver. Download the latest ZDesigner Windows driver from the Drivers section of the Zebra ZT231 support page. Run the installer with administrator rights, choose Install Printer Driver in the Printer Installation Wizard, then pick the port (Network, USB or Other), the model and the resolution.

    The part number sticker below the media hanger shows the resolution: the last digit before the dash (ZT2314Y) is 2 for 203 dpi and 3 for 300 dpi. ZT23142-… is therefore a 203 dpi printer.     USB

    Remove the label covering the printer's USB port, connect the cable to the printer and the PC, and switch the printer on. Windows finishes the driver installation while the printer starts up.

    Ethernet

    Connect the network cable to the built-in 10/100 Ethernet port and switch the printer on. It requests an IP address from your network. Touch the Printer Info tab on the Home screen to see it. 0.0.0.0 means there is no connection: check the cable and the switch port. For a fixed address, set Connection › Wired › Wired IP Protocol to PERMANENT, enter the IP address, subnet and gateway, then touch Connection › Networks › Reset Network so the changes take effect.

    Wi-Fi (optional)

    Wi-Fi needs the optional 802.11ac Wi-Fi card. Connect the printer by USB or Ethernet first, then enter your network name (ESSID) and reset the network.     Print a configuration label

    • Configuration labels: when the printer is ready (STATUS light steady green), hold FEED + CANCEL for 2 seconds. The printer prints its configuration label and its network configuration label.
    • From the menu: System › Settings › Print: System Settings prints the settings, Connection › Networks › Print: Network Info the network details.

    Frequently asked questions

    Which side of the ribbon faces out on the ZT231?

    The coated (ink) side faces out. Inside-coated ribbon needs the optional spindle for it.

    Do I need an empty core on the ZT231 ribbon take-up spindle?

    Yes. The printer ships with an empty core on the take-up spindle. When you change the ribbon, slide off the core with the used ribbon and move the empty core from the supply spindle to the take-up spindle.

    Why does the ZT231 say Ribbon Out with direct thermal labels?

    It is still set to thermal transfer. Set Print › Print Quality › Print Type to Direct Thermal, and choose the same in your driver.

    How do I find the IP address of my ZT231?

    Touch the Printer Info tab on the Home screen, or hold FEED and CANCEL for 2 seconds to print the network configuration label.
